  1. Have your considered the how will you make decisions? Have you considered the financial aspects (opening bank account, issuing receipts etc.)
  2. Will you take a production company or produce the conference yourself?
  3. What kind of experience do you have, individually and collectively, in terms of organising Wikimedia related events and projects in the past? Could you elaborate on this carefully, listing out a history of your personal and collective engagement with the movement.
  4. You will need many volunteers or paid coordinators – how are you planning to approach and find them?
  5. Is your team or its members in close contact with organizations also interested in the free and open knowledge?
  6. Has any member of the organising team attended a past Wikimania
  7. Have you thought about looking for "community people" supporters outside of the organizing team?
  8. Can the core team leaders realistically commit a substantial amount of time in the 6-8 months before wikimania to planning it (i.e. 10-20 hrs/week, more closer to the conference)
  9. How free are the bid leaders to travel? Travel is needed by at least the core team to the preceeding wikimania and once to san francisco, at a minimum.
  1. Is the maximum capacity of the main hall 450 people? This limits the conference somewhat.
  2. An estimated 500 attendees will come to the conference – will the WiFi be able to support such a large group? Was this tested? Will you provide additional WiFi infastracture?
  3. How are the multiple venues arranged? Are they all near each other or in the same building? Is it possible/feasible to have several parallel sessions for keynotes, smaller presentations, etc.?
  4. Is the University XYZ a formal partner? If so, what is the agreement, could you make it explicit, and explain the benefits, e.g. subsidised accommodation, etc.?
  5. Will there be a central space for attendees to gather in the evenings after the conference and dinner?
  6. Can you post internal pictures from the venue's rooms, and any related floorplans?
  7. Can you post pictures from areas that could be devoted to community space?
  8. From the experience of the conference in the last years we not only need rooms to make the talks, workshops, social areas etc. There are also need for other smaller rooms. As there are: A room for the orga team where they can discuss issues and make plans without always be observed from the public, a room for speakers where they can prepare their talk undisturbed. A press room where the press can rest and maybe do interviews, a seperate interview room would be more better. Last but not least a VIP room. Traditional the board would held a one day meeting during the conference and at least they need a room for that.
  9. Is your city centre wheelchair friendly? What accommodations, meeting venues and transportation facilities are available to delegates in wheelchairs?

  1. Most countries of the world require a VISA to Indonesia, and it is not always given, have the attendees already approached federal government in order to facilitate this?
  2. To the extent that city XYZ in Indonesia is a larger and possibly more diverse city, with a large student population and an existing Wikimedian base, do you have plans to hold single or multiple events at a location in the city, given the proximity to XYZ?
  3. Can you help us understand the benefits of being in XYZ vs Surakarta? Please list all, e.g. safety, proximity of venues, university buy-in etc.

  1. Can you detail what are the meals in the schedule provided by the conference (all? Some?) and what are actually breaks were people purchase their own meals.
  2. Is the list of hotel rooms checked with the hotel or is it the entire amount of rooms in the said hotels? If so – will the registration to accommodation be done through the organizers or directly through the hotels?
  3. Dorm prices are somewhat high compared to previous years (45$ pp/pn) – can these be lowered?
  4. Will the (potential) distance between residential options, between each other and the conference venue, create a dispersed community during the course of Wikimania?
  5. Did you contact the hotels already and check availability?
  6. Will the registration to accommodation be done through the organizers or directly through the hotels?
  7. What is the costs of the dorms? How many dorm rooms available?
  8. Where discounts for hotels obtained?
  9. What meals will be provided by the organizers?
  10. Are the hotels B&B? if not – where will attendees be able to eat breakfast?

  2. Do you have price quotes to support the budget figures (such as catering?)
  3. 20 VIPs who need accommodation is a large number – who are they?
  4. Travel expenses for VIP's is very high – is it reasonable?
  5. What is the "technical" item in the budget? It seems a bit small?
  6. The "Wednesday night early attendees party" is rather small – what does it include?
  7. In your estimated revenues, you seem to want to raise a significant portion through registration fees: is it feasible to do so? Additionally, given that the point of Wikimania is widespread public participation, is it desirable to do so? What is the cost of keeping the event open, i.e. to have registration at no cost, and how might this alter your financial estimates?

Is it feasible to expect individuals to pay large amounts for registration, creating tiered participants, and is it possible instead to consider going for the large-scale corporate/foundation support you also envisage, since getting large amounts of money from individuals might be more complicated and time consuming than pursuing a few key institutions?
  9. What kind of costs are we looking at here that are estimable - for e.g. accommodation, venues, transport - and do any of the costs present a significant advantage over holding Wikimania in a first-world country?
  10. Have you approached sponsors? Do you have a list of possible sponsors?

  1. Do you have in mind certain Keynote speakers? How many?
  2. Do you expect this Wikimania to be primarily attended by invited guests and local (i.e. North American) participants? I imagine that Europeans and residents of high-income Asian countries will have no problem with visas, they won't need any, but for people outside these geographies, the process might be complicated and lengthy. How do you plan to pace yourself in order to provide adequate time for people across the world to apply to enter the US? And would this mean bringing a lot of the planning forward - i.e. doing it in advance of what one would normally do?
  3. Is there anything else you would like to tell us about what you want to have happen at Wikimania 2013?
  4. Do you have support letters from the university? Government and municipal bodies? Possible sponsorships?
  5. What kind of support do you expect (or have arranged) from local Indonesian institutions, both educational and otherwise (for e.g. funding agencies) - these could include the universities, etc. etc.
  6. You list embassies as being potential sources of sponsorship of foreign attendees, but in my experience, this rarely, if ever, works. Given a potentially large bill for travel outside the US and Europe, do you have particular plans to raise extra money to foot such bills? Or is the alternative to keep it mainly available to those whose travel costs to Washington will be minimal.
  7. What kind of outreach can you do to draw in people from within Indonesia and neighbouring countries?
  8. What kind of Africa focus, both within and outside South Africa, do you propose? For e.g. do you have specific plans for including/highlighting strong African language Wikipedias (Swahili, Arabic, Afrikaans, Yoruba) and nascent indigenous South African language Wikipedias?
  9. What are your weaknesses? And how will you cope with your weaknesses?
  10. What is your suggested itinerary of the conference?
  11. Do you plan to implement any ideas to improve the experience of those participants that might not be particularly proficient in English?
  12. What are your biggest security concerns, and what measures will you be taking to try to avoid them?
  13. How well could Wikimania 2013 in Surakarta host participants with different life styles, such as eating habits, religous beliefs and same-sex orientation?

  16. This would be the third Asian Wikimania conference. Do you plan to allocate resources to ensure high participation rates from other countries on the Asian continent that are geographically far away?
